1. About these terms

These Terms & Conditions govern your use of this website and the relationship between you and Eventra Group (Pty) Ltd (“Eventra,” “we,” “us,” “our”) — a company registered in South Africa (registration number 2023/183233/07) with its registered office at Sunclare Building, 21 Dreyer Street, Claremont, Cape Town 7708.

By using this website or submitting an enquiry through it, you agree to these terms. If you don’t accept them, please don’t use the site.

2. What we do

Eventra is a luxury sports hospitality and experiential travel company. We design and arrange:

• Bespoke travel — curated journeys across Africa, Europe, and beyond, delivered through our destination management partners. This includes both inbound travel (international visitors to South Africa and the wider region) and outbound travel (taking travellers from South Africa or elsewhere to destinations across the world).
• Sports hospitality — premium hospitality at sporting events including rugby, cricket, F1, MotoGP, tennis, football, and live music, both at events in South Africa and at fixtures abroad.
• Inbound and outbound sports tours — multi-day tour packages built around sporting events, designed for groups travelling internationally to attend matches and tournaments.

Our role is to design the experience and arrange access through our network of suppliers. We are an organising agent — not the direct provider of accommodation, hospitality venues, transport, or event tickets unless explicitly stated.

3. Enquiries and quotations

Enquiries submitted through our Online Consultant or by direct contact are not booking confirmations or contractual offers. They are requests for information.

Any quotation we provide is:

• Subject to availability at the time of confirmation, not at the time of quotation
• Indicative until confirmed in writing as a final booking
• Valid for the period specified in the quotation, after which prices and availability may change

A booking is only confirmed when we have received your written confirmation of the quotation, received the required deposit, and confirmed availability with our suppliers in writing back to you.

4. Pricing, payment, and currency

All prices quoted are in the currency stated. Prices may be subject to change due to supplier rate variations, currency fluctuations, taxes, levies, or duties imposed after the quotation is issued. Where this happens we will inform you and offer the option to adjust, accept, or cancel before final commitment.

Payment terms are set out in your booking confirmation. Late payment may result in suppliers releasing booked inventory and the loss of any deposit paid.

5. Cancellation and changes

Cancellation and amendment policies depend on the suppliers involved (hotels, airlines, hospitality venues, event organisers) and are typically more restrictive than ordinary leisure travel.

Specific cancellation and amendment terms will be set out in your individual booking confirmation. In general:

• Deposits are non-refundable in most circumstances
• Cancellation closer to the date typically results in higher penalties, often up to the full amount paid
• Some events and properties allow no refunds at all once booked

We will be transparent with you about which terms apply to your booking before you commit.

6. Travel documents, passports, and visas

It is the traveller’s responsibility to ensure that:

• All passports are valid for the period required by the destination country (often six months beyond travel dates)
• All necessary visas, permits, and entry requirements are in place — including for outbound travellers from South Africa to destinations such as the UK, Schengen Area, USA, Australia, and elsewhere
• Any required vaccinations or health certifications are obtained
• Travel insurance is arranged

Outbound travellers from South Africa should pay particular attention to visa requirements, which vary widely by destination and can have long lead times. We can guide you on what’s typically needed but cannot accept responsibility for losses resulting from documentation, vaccination, or visa issues.

7. Insurance

Comprehensive travel insurance is strongly recommended for every trip we arrange. This should cover medical emergencies, trip cancellation, baggage, and where relevant, sporting and adventure activities. We can recommend insurers but the responsibility for arranging suitable cover rests with the traveller.

8. Liability

Eventra acts as the organising agent. Our liability is limited to the reasonable arrangement of services as described in your booking confirmation.

We are not liable for:

• Acts or omissions of third-party suppliers (hotels, airlines, event organisers, transport providers)
• Force majeure events including but not limited to natural disasters, war, civil disturbance, pandemics, government action, or supplier insolvency
• Loss, damage, or injury occurring during the experience itself unless directly caused by our negligence
• Cancellation, postponement, or change of sporting events or concerts by their organisers
• Variations in match outcomes, seat allocations, or hospitality experience that result from circumstances outside our control

Nothing in these terms limits our liability where the law does not allow such limitation.

9. Sporting and event-specific terms

For sports hospitality and event packages — whether at venues in South Africa or abroad:

• Match dates, kick-off times, and venue arrangements are determined by the event organiser, not by us
• We cannot guarantee specific seat positions beyond the category booked
• Hospitality menus, lounge access, and other experience details are set by the venue and may change
• We cannot offer refunds where an event is rescheduled if the new date is reasonably accessible to the original ticket holder, in line with the event organiser’s terms
• For outbound tours, we cannot accept responsibility for connecting flight delays, missed transfers, or other journey disruptions outside our direct control

10. Intellectual property

The content on this website — including text, images, branding, design, and the Online Consultant — is owned by Eventra Group (Pty) Ltd or licensed for our use. You may not reproduce, copy, or use it commercially without our written permission.

11. Personal information

Our handling of your personal information is governed by our Privacy Policy, which forms part of these terms by reference.

12. Governing law

These terms are governed by the laws of South Africa. Any dispute arising out of or relating to these terms or your use of the website will be subject to the exclusive jurisdiction of the courts of South Africa, unless otherwise agreed in writing.
